We are very proud of this statistic and we are looking for a HR administrator therefore who is customer service oriented in their approach, who knows that every employee interaction, big or small, is an opportunity to influence satisfaction with NIBRT as their chosen employer.   

The HR team want someone able to operate relatively independently, who brings their own ideas, is willing to try new things, who seeks to understand other’s points of view, someone willing to suggest new ways of doing things while at the same time focused on getting the basics right first time every time by paying rigorous attention to detail, implementing procedures stringently but treating every request with respect.  

The HR team have big ambitions with many proactive projects in the pipeline all of which the new HR Admin will have the opportunity to learn from but will have a primary focus and ownership for the HR administration function, but with support and oversight minimally from the HR Lead. It’s a great opportunity to really own the stage and be a top HR Admin performer.

Role Purpose

Reporting to the HR Lead, the HR administrator will play a critical role in delivering the employee experience required to retain our talented team. The HR Admin will be independently responsible for all HR administration and for supporting the HR Lead, HR Director, department Managers and staff on a range of people and culture projects and initiatives as requiredThis can be a hybrid role, operating both onsite and from home. 

Key Responsibilities

  • Sage HR system primary Administrator – manage the Sage HR system as subject matter expert, including the SAGE PR module and SAGE Training modules 
  • Employee Support: Take ownership for and independently manage the HR email inbox, answering queries promptly or escalating as required. Support managers and colleagues on operational HR and early stage employee relations matters by providing accurate advice.  
  • Recruitment: Support NIBRT’s external recruitment partner in commencing and closing various campaigns, including participation in interviews as panel member  
  • On-boarding: Responsible for employee and student on-boarding from contracting, hosting agreements, relocation, file set up and SAGE database maintenance, delivering induction and orientation presentations 
  • People Processes: Responsible for the admin, tracking and monitoring of the following: 
    • Monthly HR payroll instruction to the Payroll manager (Finance team) 
    • Performance management admin 
    • Annual salary review support 
    • Training and development coordination 
    • Protected Leave Admin 
    • Absence Management Admin 
    • SAGE HR management incl critical contract dates and work permit renewals 
  • Policies & Forms: Keep Employment Policies up to date, communicating changes and new policies to employees and support implementation  
  • Benefits: Work with the Finance team to promote and administer employee benefits ensuring employees maximise the value of their total (remuneration and benefits) package   
  • Wellbeing: In conjunction with our Health Insurance partners, source and deliver annual health and wellbeing programme of events for employees. Actively support managers on all issues related to attendance and absence management, including occupational health services and monitoring compliance with the Attendance policy  
  • Training: Administration of general skills training for employees, sourcing, scheduling and promoting the courses and monitoring attendance and feedback.  
  • Off boarding: Responsible for managing off-boarding process on Sage and leaver feedback  
  • HR Projects: Support and participate in various HR Projects and working groups  
  • Other: Any other duties that may be reasonably required from time to time as requested by HR Lead or HR Director 

 

Essential Criteria

  • Recent Sage HR System experience.

  • Relevant present day or recent experience working in a modern HR Department – essential 

  • Up-to-date knowledge of employment law in Ireland – essential 

  • Must be able to work relatively independently, without continuous direction or instruction, the motivation of the HR Admin to deliver is essential 

  • Ability to remain organised, determine priorities and deliver on agreed service commitments – essential 

     

Desirable Criteria

  • Appropriate HR or related qualification – certificate, diploma, degree, post grad – an advantage 
  • Adaptable approach, execution oriented and resilient, positive and proactive  – responsive and service minded – an advantage 
  • Excellent numerical, reporting and analytical skills – an advantage 
  • Ability to be professional, tactful and discrete when handling sensitive and/or confidential information (examples of this competence required at interview)
